A centralized Notion workspace with Client CRM, Task Manager, Invoice Tracker, Content Calendar, and SOPs — built to keep an entire freelance or small business operation in one place.
Overview
Designed and built a centralized Notion workspace to help freelancers and small businesses manage their daily operations. The workspace includes a Client CRM, Task Manager, Invoice Tracker, Content Calendar, and SOPs & Resources — powered by relational databases, multiple views, and an organized dashboard that improves workflow, project tracking, and productivity.
Highlights
A single hub that links every workspace module, so nothing lives in a disconnected tab or app.
Tracks clients, services, deadlines, payment status, and priority in one relational database.
Board and table views with a task-to-client relation, so every task traces back to the right account.
Rolled-up invoice status and amounts linked directly to client records for at-a-glance payment tracking.
A calendar view for scheduling posts and deliverables across platforms and clients.
A searchable library of procedures, checklists, prompts, and templates to keep delivery consistent.

Problem
Freelancers often manage clients, tasks, invoices, and content across multiple disconnected tools, making it difficult to stay organized and track project progress efficiently.
Approach
Designed a centralized Notion workspace with linked databases, custom properties, multiple views (Table, Board, and Calendar), and an easy-to-navigate dashboard that keeps all business information in one place.
Engineering
Real problems hit during the build — and how each one was diagnosed and resolved.
Problem
Client, task, and invoice data risked being duplicated across separate databases.
How I solved it
Linked the databases with relation properties instead of copying data, so each client record is the single source that tasks and invoices reference.
Problem
Invoice and task status needed to update automatically as work progressed.
How I solved it
Built rollup properties and formulas that pull invoice totals and task counts onto the client record in real time.
Problem
Information was scattered, making it hard to trust any one view as up to date.
How I solved it
Established the Client CRM as the single source of truth, with Task Manager, Invoice Tracker, and Content Calendar all relating back to it.
Problem
A dashboard with too much data can quickly become cluttered and slow to scan.
How I solved it
Designed the dashboard around filtered, rolled-up views so it stays fast, focused, and scannable at a glance.
Problem
The system needed to be reusable for future clients, not a one-off build.
How I solved it
Templated the databases and properties so a new client can be onboarded by duplicating the structure, not rebuilding it.
